- Managing Project Change. Projects like everything else are vulnerable to change. The change can come from many factors and many variables. This slide deck is focused on learning how change can be managed by a project manager. Change Management in projects follows the systematic way of approaching change with necessary tools, techniques, processes, models and practices. Change Management in Project Management borrows from the existing discipline of the same name.
- Two Types of Change. In project management there are two types of Change - Change Control and Change Management. In other words Change control is the Process or Technical aspect of change while the other is the People aspect of change.
- Change Control. Change control concept involves 4 dimensions to be followed. They are Baseline, Control, Communicate, and Value. A baseline must be set against which the change must be measured. Change always appears to be chaotic and random. Thus to control the change a structured approach must be used bring the situation under control. Change must be controlled with a process. Communication is the key to taking control of the change process. The team needs to be communicated about change right from the start, during and until the change process is under control. The Value of change must always be kept in sight and measured. Together these 4 dimensions make up the concept of Change Control.
- Change Management. It involves the focus on People as an integral part of change. The people side of change equation must be taken into consideration namely how people feel about change. The positives and negatives of the change. The timing of change and how it impacts the stakeholders must be taken into consideration. The volume of change in the change efforts must be considered and people must not feel fatigued. A SWOT analysis must be carried out before embracing the change so that the real ‘what if we do’ and ‘what if we don’t’ outcome state is clear to everybody.
- John Kotter's 8 Steps. There are 8 useful steps proposed by John Kotter for Organizational Change. They are Establish a sense of urgency, creating a coalition, developing a clear vision, sharing the vision, empowering people to clear obstacles, securing short-term wins, consolidating and keep moving, and anchoring the change.
- Organizational Culture. In the People aspect of Change management the concept of Organizational culture is the most essential to understand. Organizations though made up of individual employees work together as groups and teams within a defined project landscape. However people in work assignments, connect with each other both, formally and informally and this forms the often unspoken bond that gives them a common sense of identity and a sense of belongingness. This is organization culture. It gives them identity, values and beliefs. The culture can itself be a conducive vehicle for change or for resistance to change.
